By applying to join WWOOF Japan LLP you are agreeing to enter into the following legally binding agreement with WWOOF Japan LLP.

The words "you" and "your" stated here throughout refer to the person, and / or persons, and / or legal entity, and / or legal entities applying to join WWOOF Japan LLP.
WWOOF Japan LLP
You understand that WWOOF Japan LLP is a Limited Liability Partnership, and by applying to join WWOOF Japan LLP you are agreeing that all matters arising from your relationship with WWOOF Japan LLP will be confined to that which is the legal entity WWOOF Japan Limited Liability Partnership. By applying to join WWOOF Japan LLP you are agreeing that your relationship with WWOOF Japan LLP is in no way a relationship with the individual people who are the principals of WWOOF Japan LLP.
You agree that you will not seek damages of any kind from WWOOF Japan LLP, or the principals of WWOOF Japan LLP
As a pre condition to applying to join WWOOF Japan LLP you agree that you will be a member of WWOOF Japan LLP entirely at your own risk, and that you will not seek damages of any kind from WWOOF Japan LLP or the principals of WWOOF Japan LLP, or from other WWOOF Japan LLP members, pertaining to any outcomes that may arise during your involvement with WWOOF Japan LLP, WWOOF Japan LLP members, and any other persons associated. By applying to join WWOOF Japan LLP, you are agreeing to this indemnity.
While engaging with other WWOOF Japan LLP members, you will always ask for explanation about any activities other WWOOF Japan LLP members may ask you to do, before you do them, as to whether it is safe for you to do the activity. If you are asked to do something that you don't properly understand, or that to you seems unsafe, or something that you have not done before and cannot judge the safety of it, then you will elect not to do it. You will always consider your safety first. By applying to join WWOOF Japan LLP, you are agreeing to take these precautions.
Your WWOOF Japan LLP membership does not include insurance of any kind. We recommend that you arrange insurance cover to cover yourself and cover other WWOOF Japan LLP members whom you may come into contact with, pertaining to sickness, injury, loss, damages, etc.; travel insurance as part of sensible travel plans, and, normal liability insurance as part of hosting visitors and friends at your property. You should make clear on your insurance application full details about WWOOF Japan LLP, and your membership to WWOOF Japan LLP, that WWOOF Japan LLP is a means by which you the traveler intends to travel and holiday, and, a means by which you the host intend to welcome friends and visitors to your home, where you the traveler usually help you the host at the hosts place, where in return for you the traveler helping you the host, you the host gives you the traveler meals and accommodation. You the traveler should advise your insurance company of the explanation pertaining to the hosts you plan to visit, and you the host should advise your insurance company details of the travelers you plan to host and your place. By applying to join WWOOF Japan LLP, you are agreeing to either arrange this insurance for yourself, or if you decide not to arrange insurance for yourself, then to entirely indemnity WWOOF Japan LLP from any claims that may arise from your membership to WWOOF Japan LLP.
Visas are entirely your responsibility. Neither the WWOOF Japan LLP office, nor WWOOF Japan LLP Hosts, can sponsor or support you in any way on visas matters. If you are in any doubt about your eligibility for a visa to Japan, go here www.mofa.go.jp and navigate to the page concerning visas. If, after you have applied and paid for WWOOF Japan LLP membership, you find you are unable to obtain a visa, refund will not be given.
One membership for each person
Each person who contacts (or for whom contact is made) and / or visits Hosts must be a member of WWOOF Japan LLP BEFORE Hosts are contacted. If you are planning to travel with friends or family, those persons will each need join, pay, become a member, and print out their WWOOFer Permit, before hosts are contacted. You may not take a friend with you citing them as a 'visitor' or other and not a WWOOFer.
Membership material is for the individual member only
All WWOOF Japan LLP membership material that you are given is for your exclusive use only as a paid member of WWOOF Japan LLP, and must not be given to others.
You must not go to a Host without an appropriately completed WWOOFer Permit. You can print out a copy of your WWOOFer Permit from the WWOOFer Menu when you have logged in as a member. Click here for How to Pay and for Membership Application .
WWOOFING WITHOUT A MEMBERSHIP
Each person who contacts, (including you contacting hosts on behalf of someone else), and who visits hosts, must be a member of WWOOF Japan LLP. If you are planning to travel with friends or family, those persons will each need join, pay and become a member, before hosts are contacted. Please understand the procedures regarding this, outlined below. Some people ignore this and it is so unpleasant for us to action them. Most all our Hosts are busy with WWOOFers and are reluctant to take WWOOFers who don't do the right thing on their membership as they see the potential for the same WWOOFer to not do the right thing at their place if they were to accept them as a WWOOFer. When a WWOOFer is found to be ignoring this, we may:
a) Inform hosts of the names of the WWOOFer and his or her friend, which may result in some hosts not accepting them.
b) Terminate their membership.
c) Ask the person to pay in retrospect for the membership for the person who was not a member of WWOOF Japan LLP whom they took with them WWOOFing in Japan, or the person to whom they gave membership information, regardless of whether that person has too paid and joined WWOOF Japan LLP. In these cases the money will be used to pay for membership for students, researchers, and others who cannot afford to pay for membership themselves.
d) Ask the person to pay a penalty equal to at minimum the cost of one membership. This is in addition to the cost that they are required to pay for actual membership for themselves, resulting in them paying double the cost that people who do the right thing pay. In the case of one WWOOF Japan LLP member giving a friend copies of his membership material, we ask both offenders to pay one penalty each. We use each additional payment to pay for a WWOOF membership for someone from a developing country, or a person doing research, or other who cannot afford to pay for it themselves. If the person(s) would like to specify the country to which we should work to give the membership the penalty will pay for, that is fine.
e) Notify hosts of the events that have unfolded, and this may result in the person(s) not being accepted by hosts.
f) Notify other WWOOF groups and various other travel, volunteer, work, study, exchange, and other associations of the events that have unfolded.
SOLICITING HOSTS IS NOT PERMITTED
Members must NOT solicit other members to sell them things or services, or for any other reasons.
Much of our work at WWOOF Japan LLP is towards:
- Genuine, quality experiences
Without exception, we insist all WWOOFers and Hosts are current members of WWOOF Japan LLP. It is a first & fundamental step towards accountability, safety, fairness, & endeavor to have WWOOFing in Japan a genuine & quality experience.
Those who ignore WWOOF rules pay a penalty equal to at minimum one membership payment for each person involved in the wrongdoing, or have their membership revoked.
Hosts insist we have a zero tolerance to people ignoring WWOOF rules, rightly sighting the potential for that same person to ignore what rules, values and preferences that they might have at their place.
WWOOFers make clear to us that they do not want to be WWOOFing along side people who ignore WWOOF rules; (if he cheats on membership, how can I leave my personal belongings in the room that I share with him); (if she has ignored WWOOF rules, is that all, or will she bring be other problems that could represent a physical danger to me?). WWOOFers who follow WWOOF rules can't and shouldn't be expected to have to make judgment on the veracity of claims people make about their thinking, intentions & moral standing. They rightly expect part of their membership fee should go toward having the WWOOF Japan office see that WWOOF rules are adhered to. They don't want to find a host is full with another WWOOFer's reservation and cannot therefore accept their application, but that the other WWOOFer is not a member yet. And why do I have to pay, and him not!?!
Please take WWOOF rules seriously. Claims of 'special circumstances' will be deemed to NOT mitigate the wrongdoing. Examples of claims made when people are asked to pay penalties are:
1) I inquired to a host about my friend and myself; she's not a member, because she is not sure if she'll come to Japan with me yet.
2) I was going to join later.
3) That person used my login to contact hosts, and I didn't know, or give them my permission.
4) Sorry about that. I've been so busy these days. Please forget this time. I'll remember next time. I promise.
5) It was a mistake. I am not dishonest. I did not set out to be a cheat. I did intend to do the right thing.
6) I didn't realize my membership period had elapsed.
7) I contacted hosts for my friend too. He is waiting for his membership to be processed I think. Or, if he hasn't sent his application form and payment yet, he was going to send it soon I am sure.
8) I feel like I am being treated like a common criminal.
9) I contacted a host using info from my elapsed membership, while my new membership was being processed.
10) I've explained I'm sorry, that I made a mistake, but the WWOOF office won't let the matter die, & says I must pay a penalty for both myself & my friend.
11) I didn't tell this person to come with me to the host. They just followed me there.
12) WWOOF should be free.
13) The WWOOF office doesn't care about my situation. You WWOOF office people are a cold and hard lot.
Please, , PLEASE, please, PLEASE, follow WWOOFing rules. It is so very unpleasant for us to have to act when people don't. We don't accept these and similar claims, and ask all people who ignore WWOOF rules to pay a penalty equal to at least one membership fee for each person involved. We invite people to specify a charity or country to which they would prefer the payment be directed, and we do our best to allocate it in that way.
When we contact people asking them to pay a penalty, experience shows us that this often takes far too much time. The person to whom we write writes back over and over again citing one of the above examples or similar, feels offended, or badly treated, etc. While this is understandable, we ask those people to understand that:
-- What is happening to them is a result of the actions they have taken.
-- We can't and therefore don't attempt to make judgment on the veracity of claims people make about their thinking, intentions, moral standing, and similar.
-- We can't spend so much time on them, when the other 99.9% of WWOOFers who do the right thing have needs that we are obliged to give a priority to.
-- We therefore work to address these matters quickly, by offering the person two options, namely:
.... 1) Pay the penalty(s), or
.... 2 )Have their membership revoked and a description of the actions they have taken passed onto other groups. If the person feels they are right, and WWOOF Japan is wrong, then they can feel confident that others will interpret the situation as they do.
-- In the absence of receipt of a prompt reply from the person and cooperation in proceeding with option number 1, we deem that they have elected option number 2, and proceed on that basis.
-- We feel this and related policies are fare, accountable to all, and make this information transparent for all to see.
-- We will give this and similar material to people who ignore WWOOF rules, to whom we ask to pay penalties.
-- Having such rules might not guarantee that WWOOF in Japan is a safe and quality experience for all, but it surely must be conducive to making WWOOFing in Japan safer and more of a quality experience than it would be if we had no such rules.
Should a WWOOFer feel a host has behaved wrongly, then they SHOULD tell us about it. Understand that we do monitor all goings on carefully, welcome feedback from WWOOFers, and do act on it. In the face of a problem with a host, WWOOFers should not mistakenly think that "... ah, I guess hosts are just prone to be like this", or, ".... even if I report this, most likely nothing will happen".... , etc.
